Form I-9 Compliance

All U.S. employers must complete and retain a Form I-9 for each individual, citizens and non-citizens, hired for employment in the U.S. The form requires employees to  submit documents that verify their identity; a list of acceptable documents can be found on the last page of the Form I-9.

Social Security Numbers

SSNs are used to report an individual’s wages to the government and to determine a person’s eligibility for Social Security benefits. You need a Social Security number to work, collect Social Security benefits and receive some other government services. A fact sheet is available below to assist you with obtaining a SSN.

E-Verify Compliance

In compliance with Executive Order 12989, NMSU uses the E-Verify system to conduct employment authorization checks for new and existing employees performing work under qualifying federal contracts.

Employment Verification

Outside Entities sometimes request employment verification for former employees of New Mexico State University. Below are the two ways limited information can be obtained.

Verbal Verification
The university receives many calls from financial institutions, prospective employers, and other businesses seeking employment-related information. Human Resource Services limits verbal verification to name, title, dates of employment, and current status. Anything outside this parameter will need to be requested following the written verification protocol because some employees may have legal reasons to protect even some of this basic information.  All inquiries must be directed to Human Resource Services at (575) 646-8000.

Written Verification
All requests for written employment verification must contain the employee’s signature authorizing the university to release such information. All written inquiries must be directed to Human Resource Services via fax at (575) 646-2806  or via mail to P.O. Box 30001 MSC 3HRS; Las Cruces, NM 88003. Written requests will be returned to the requesting entity either by fax or via mail using the address provided by requesting entity.  Employees may obtain a copy of verification sent to the entity by requesting it via email to or calling Human Resource Services (575) 646-8000.
