Purpose of Classification:
Responsible for supervising and performing work related to receiving, sorting, and distributing a large volume (Library, community college) of campus and U.S. mail for a college. May also be responsible for other materials in and from the mail room. Responsible for establishing a schedule to pick up and deliver mail and maintaining a distribution list accordingly. Responsible for establishing and maintaining any special mail procedures, such as registered mail, bulk mail, etc.
Standard Duties:
May supervise personnel which typically includes recommendations for hiring, firing, performance evaluation, training, work allocation, and problem resolution; Oversees and coordinates bulk mailing requests for all University Campuses; oversees the maintenance, operation, and programming of technical bulk mailing equipment; Maintains and programs technical equipment for the department; oversees and coordinates the operation of all department equipment; Serves as primary point of day-to-day customer service for the department; provides job cost estimates for customers and informs and advises customers regarding current USPS regulations and NMSU mailing policies; Responds to inquiries and researches and resolves problems related to transactions handled by the unit; serves as liaison with other constituencies in the resolution of day-to-day administrative and operational issues; Gathers, records, and analyzes data for billing and operational benchmark analyses, and prepares reports; Participates in the development of department goals and objectives; recommends, implements, and administers policies and procedures to enhance operations; Maintains, updates, and enhances the departmental internet website; interacts with all departmental components on a regular basis to assess website needs and determine appropriate solutions; Performs miscellaneous job-related duties as assigned.
Knowledge, Skills and Abilities:
Current working knowledge of state-of-the-art bulk mailing processes, procedures, and technology; Knowledge of US Postal Service operations, regulations, practices, and standards.
Strong interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse community; Employee development and performance management skills; Demonstrated customer service skills, and ability to meet multiple deadlines.
Ability to gather data, compile information, and prepare reports; Ability to communicate effectively, both orally and in writing; Ability to program, maintain, and troubleshoot electronic bulk mailing systems and equipment; Ability to supervise and train employees, to include organizing, prioritizing, and scheduling work assignments; Ability to analyze project requirements and prepare work and cost estimates; Ability to analyze processes and make recommendations for improvements; Ability to analyze complex information, and to define and solve problems.
Minimum Qualifications:
   Education- High School diploma or GED certificate.
   Experience- Four (4) years of experience related to the standard duties as outlined.
   Equivalency- Completion of a post-secondary degree or certificate may substitute for years of experience.
