Purpose of Classification:
Monitors, posts, and processes both Foundation and University gift information. Creates and maintains computerized and paper records by performing routine queries and generating applicable reports. Ensures integrity of student, personnel, financial, and/or all other confidential records as appropriate by the department. Makes certain that deadlines are met and completed with a high degree of accuracy. Lead the annual write off process, providing recommendations and associated documentation to Executive Director Prospect Str & Gift Adm. Knowledge of CASE Reporting Standards, as it relates to gift processing.
Standard Duties:
Establishes and maintains filing systems for various data records. Posts and updates information to various records, and other related documents. Answers inquiries concerning the status of information requests; complies with policies concerning the various records maintained. Collects and extracts data from records for various reports; Audits data for accuracy and completeness. Scans and edits for errors during processing. Verifies information contained in data and hard copy records for legitimate requests for such information.Responsibilities includes related maintenance of large and complex filing systems (hardcopy and/or electronic). Assists in identifying, assessing and resolving issues/problems, and is required to assess and resolve non-standard issues/problems. Responsible for seeking advice and escalating issues when faced with tasks/problems outside normal scope of job, along with providing the Executive Director with recommendations and summary information. Responsible for training and directing records system coding and assignments handled by other Gift Processors. Responsible for setting goals and daily oversight and management of the Gift Processing team in collaboration with the Executive Director, maintain a working knowledge of IRS compliance regulations. Conduct end of year performance reviews for the Gift Processing team, in collaboration with Executive Director. Researches and Analyzes; Biographical updates and maintains data integrity through use of relational database integrity functions and spreadsheet formulas and functions to ensure that records are logical and consistent; Researches current address, employment, and other biographical information using technological resources including Lexis-Nexis and other online demographic tools and databases; Responsible for the organization of the records management system including the maintenance, storage, retention, retrieval and destruction of records and documents in accordance with New Mexico State University and New Mexico State University Foundation policies and procedures; the receipt of gifts to NMSU Foundation; Gifts and pledges in accordance with NMSU Foundation and University, CASE policies, nd IRS regulations; Writing and Consultations; Provide effective and timely customer service to clients; and extract and communicate key information. Performs miscellaneous job-related duties as assigned.
Knowledge, Skills and Abilities:
Knowledge of supplies, equipment, and/or services ordering and inventory control. Knowledge of IRS compliance regulations.Knowledge of CASE Reporting Standards.
Records maintenance skills; Database management skills; Wordprocessing and/or data entry skills; Organizing and coordinating skill; Essential skills include; Proven ability to think critically and analytically in order to initiate and perform complex analyses; Strong computer skills using Excel, MS Word, and the internet; Exceptional written/oral communication and customer service skills; attention to detail.

Minimum Qualifications:
   Education- Bachelor’s degree in related field.
   Experience- Five (5) years of experience related to the standard duties as outlined.
